What businesses need to know about the Gov.uk One Login and how to remain compliant

The process for businesses needing to access their Companies House Accounts is currently being changed, with businesses soon needing to set up and use the Gov.uk One Login system.

The new system offers a straightforward and secure way to manage company information, with a single account, username and password for all government services, along with two-factor authentication for added security.

However, with this change comes the challenge of ensuring that your business stays compliant with all filing and statutory requirements during the transition.

The move to Gov.uk One Login will be introduced in phases. The first phase is already in place – a private beta for selected users, and it will be followed by a public beta, before becoming mandatory for all companies accessing the ‘Find and update company information’ service by the end of 2024.

The WebFiling service will transition at a later date, with plenty of notice provided beforehand.

How the change affects your compliance obligations

For businesses that rely on regular filings with Companies House, such as Confirmation Statements, updating director/shareholder information, and submitting financial statements, this change is important.

The introduction of a new login system may seem straightforward, but there are potential risks.

Any delay in adjusting to the new system could lead to missed deadlines or incorrect filings, which may result in penalties or non-compliance with statutory requirements.

Many businesses may also underestimate the importance of the Gov.uk One Login system’s security measures for accessing and amending their sensitive company information.

The Gov.uk One Login process provides a new two-factor authentication system, which means businesses must ensure that only authorised personnel have access to these services.

Managing who within your organisation has access to these systems and ensuring that they are trained in the new process will be necessary for maintaining compliance.
